Owner statements and the owner portal

If you manage apartments for owners, Hercules OS makes the monthly statement for you and gives each owner a read-only portal.

The monthly statement

• Drafts for the closed month are created automatically on the 1st, from the stays, the costs and the contract of each apartment.
• You check a draft, press Approve, and then Send to owner. The owner receives it by e-mail, in the statement language you chose for that owner: Dutch, French or English. A sent statement cannot be unsent.
• If something changes after a draft was made, it is flagged as stale and you regenerate it before approving.
• When the transfer is made, you mark the statement paid.

Guests pay in euros, while costs and payouts are in dirhams. Each statement says which currency every figure is in.

The owner portal

Each owner signs in to a portal that shows their own apartments only: an overview, the monthly statements as PDF, the bookings and calendar, maintenance and contact. Owners can read it in seven languages. Staff never see money, and an owner never sees another owner.

You can preview the portal as an owner before you invite anyone.

To invite an owner, add the owner and the contract first, then give them portal access. See Add apartments to your workspace.
